As part of the UNT System's commitment to continuous improvement, the Office of the Controller, working with campus personnel, has identified a key payroll process improvement designed to help reduce the number of payroll cycles in a given month. This will involve changing the current payroll deadline calendar and payroll cycles beginning in November, 2016.
WHO WILL THIS CHANGE AFFECT?
This change will apply to all employees. Specifically, all persons responsible for the following:
WHAT IS THE CHANGE?
We will increase the number of pay dates to four for hourly and semi-monthly employees, essentially allowing for approximately one payroll per week (pay dates other than 1st and 15th will vary with each month). Currently, there are three opportunities for employees to be paid during the month.
In addition, we will remove the supplemental pay date of the 15th for regular monthly employees and move that pay date out one week. Historical on-demand/special request pay cycle runs will ultimately be discontinued and those few requests that are approved must be approved by the Chief Financial Officer. Therefore, it is critical to adhere to established deadlines.
WHAT DO I NEED TO DO?
Although these changes appear minimal, the Office of the Controller feels they will go a long way in achieving the goal of reducing the total number of payroll cycles, improving accuracy and timeliness, while still maintaining a high level of customer service. After implementation, the Office of the Controller will actively monitor the results of these changes and will make adjustments where needed.
HOW CAN I LEARN MORE?
The Office of the Controller will be hosting information sessions on each campus (partner meetings and A-team meetings) to allow for employees and supervisors/managers to ask questions about this new process.
