Corporate Travel Planners (CTP) & Concur

Corporate Travel Planners (CTP) is the UNT System’s preferred travel agency. Concur is the online booking tool that employees can utilize for booking travel arrangements.

Utilizing CTP when making travel arrangements alleviates paperwork required to pay for travel, increases the level of customer service offered to travelers, provides duty of care for the Traveler and provides travel reporting for the University. CTP’s 24/7 customer service gives UNT System travelers peace of mind that is expected from any travel agency. Additionally, CTP’s after-hours service ensures faculty and staff will never be left stranded in a travel emergency or while on the road.

How can employees use CTP?

  • Directly book University business travel for themselves online through Concur or directly with an agent over the phone
  • As a travel assistant, book University business travel for another employee online through Concur or directly with an agent over the phone
  • Book University business travel for students or other non-employee guests of the University online through Concur or directly with an agent over the phone

FAQ

  • How do I book travel for another employee 
    • Before booking any travel, a Travel Budget Authorization (TBA) should be completed, signed and sent with the Account Detail Sheet to traveladvance@untsystem.edu
    • An employee can be set you up as a travel assistant, located in profile settings options, or send an email to the employee & traveladvance@untsystem.edu requesting to be set up as a travel assistant for the employee. The employee must approve the request. Be sure to include the Employee ID.
    • To book travel for another employee as their proxy, click on profile in the top right -> choose ‘act as another user’ -> type the employee’s last name in the search box -> click on the name
    • Be sure to log out as that employee’s when travel is completed and prior to starting another travel request
  • Concur does not open, just refreshes my.unt.edu 
    • Disable Pop-Up blocker for my.unt.edu
    • Right Mouse Click, select ‘Open in a New Window’
  • There is no link for Concur Solutions 
    • Ensure you are on the human resources tab
    • Access is granted by HR and new employees are given access after one paycheck cycle
  • My profile is incorrect or has not been updated since my position change

  • I need to cancel a flight

Approval process

  • Before booking any travel, a Travel Budget Authorization (TBA) should be completed, signed and sent with the Account Detail Sheet to traveladvance@untsystem.edu
  • Immediately submitting the TBA to the Travel team for all Concur/CTP bookings will ensure the appropriate account/ fund is used to charge the expense.
  • For non-employee guest booking
    • A TBA is not required for non-employees
    • In lieu of a TBA, send an email to traveladvance@untsystem.edu with:
      • The Account/ Fund holder CC’d on the email
      • The Account/ Fund to be used for the trip
      • Guest’s name
      • Travel dates
